Meeting Legal Requirements
We may also use personal information where necessary to:
comply with legal and regulatory requirements;
respond to lawful requests;
maintain appropriate financial and corporate records; and
establish, exercise or defend legal claims.
6. Our Legal Bases for Using Information
We only use personal information where we have a lawful basis. Depending on the circumstances, we may rely on:
Contract – where information is necessary to provide Global Traveller or respond to a request from you.
Legitimate interests – where information is reasonably necessary to operate, protect or improve our business and services and those interests do not override your rights.
Legal obligation – where we are required to use or retain information by law.
Consent – where you have been given a genuine choice and we ask for your permission, including for certain optional features or marketing communications.
UK data-protection law requires organisations to identify an appropriate lawful basis for their processing and to use personal information lawfully, fairly and transparently.
7. Medical and Emergency Situations
Some assistance cases may involve sensitive medical or other personal information. We only use this information where it is necessary and lawful to provide assistance or manage the situation. In an emergency, we may need to share relevant information with organisations such as:
emergency services;
hospitals or doctors;
insurers;
medical assistance companies;
transport providers;
security providers; or
other organisations involved in the response.
For example, if a Member is unconscious or unable to communicate, it may be necessary to share relevant information to protect their life or safety. We will only share information that we reasonably consider necessary in the circumstances.
8. Corporate and Partner Memberships
Where Global Traveller is provided through an employer, airline, bank, travel company or other organisation, limited information may be exchanged between that organisation and Stratum. This may include:
name;
contact details;
membership eligibility;
activation status;
membership status; and
agreed programme reporting.
We do not routinely provide organisations that funded a membership with detailed information about an individual Member’s assistance cases. Information relating to a case may be shared where:
you request or authorise it;
it is necessary to coordinate assistance;
the organisation has responsibility for your welfare or associated costs;
there is a serious emergency;
there is another legitimate and lawful reason to share it; or
disclosure is required by law.
The precise arrangements may vary between corporate programmes.

Government or Regulatory Authorities
Where disclosure is required or otherwise permitted by law. We do not sell personal information to advertisers or other third parties.
10. Our Jordan-Based Operations
Stratum Global Risk Ltd may use an affiliated operating company in Jordan to support the delivery of Global Traveller.
This may include:
24/7 assistance;
traveller communications;
case management;
incident coordination; and
related operational support.
The Jordan operating company is provided with access only to the systems and personal information reasonably necessary to perform those services. Stratum Global Risk Ltd remains responsible for the Global Traveller product and for ensuring appropriate contractual, confidentiality, security and data-protection arrangements are in place.
11. International Use and Transfers
Global Traveller is an international travel assistance service. Personal information may therefore need to be accessed, used or shared outside the United Kingdom, for example where:
you require assistance while travelling overseas;
an overseas hospital or service provider is involved;
an affiliated operating company supports your case;
an insurer or assistance company operates internationally; or
a technology provider processes information internationally.
Where UK data-protection law requires safeguards for an international transfer, we will use an appropriate lawful mechanism and take reasonable steps to protect your information. ICO guidance confirms that transfers outside the UK may require specific safeguards depending on the destination and parties involved. In emergencies, information may occasionally need to be shared internationally where necessary to protect a Member or provide urgent assistance.
12. How We Protect Information
We use appropriate technical and organisational measures designed to protect personal information against:
unauthorised access;
loss;
misuse;
alteration;
inappropriate disclosure; and
destruction.
Measures may include:
access controls;
authentication;
restricted user permissions;
secure communications;
system monitoring;
staff confidentiality requirements;
cyber-security controls;
supplier due diligence; and
incident-response procedures.
No electronic system can be guaranteed to be completely secure, but we take reasonable steps to protect the information entrusted to us.
13. How Long We Keep Information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable legal, regulatory, financial and operational requirements. Different categories of information may have different retention periods.
For example:
Membership records may be retained for the duration of membership and an appropriate period afterwards.
Financial records will be retained for applicable accounting and legal periods.
Assistance case records may be retained for an appropriate period depending on the nature of the incident, legal requirements and potential claims.
Location information will not be retained longer than reasonably necessary for the purpose for which it was collected.
Marketing information will be retained until you opt out or the information is otherwise no longer required, subject to retaining limited information necessary to respect an opt-out.
We maintain internal retention procedures to manage these periods.
14. Marketing Communications
Where permitted by law, we may send you information about:
Global Traveller;
membership renewal;
relevant product updates;
offers;
travel-related content; and
related products or services.
Where consent is required, we will ask for it. You may opt out of marketing communications at any time.
Opting out of marketing does not prevent us from sending operational messages necessary to provide Global Traveller, such as:
travel and security alerts;
assistance communications;
membership notices;
account information; and
important service communications.
15. Cookies and Similar Technologies
Our website and digital services may use cookies and similar technologies for purposes including:
essential functionality;
authentication;
security;
preferences;
analytics;
performance; and
marketing where permitted.
Where consent is required for non-essential technologies, we will ask for it through our cookie controls. Further information is available in our Website Terms of Use.
16. Children’s Information
Global Traveller is principally intended for adult Members. Where we provide assistance relating to a person under 18, we may process information about that person where reasonably necessary to provide the service. We take additional care where children’s information is involved and may request confirmation of parental or guardian authority where appropriate. We do not knowingly use children’s personal information for behavioural advertising.
17. Your Privacy Rights
Depending on the circumstances, you may have the right to:
request access to personal information we hold about you;
ask us to correct inaccurate information;
ask us to delete information in certain circumstances;
ask us to restrict how information is used;
object to certain uses of your information;
request transfer of certain information to you or another organisation;
withdraw consent where we rely on consent; and
raise concerns about how your information is being used.
Some rights are subject to legal conditions and do not apply in every situation.
18. Exercising Your Rights
To exercise a privacy right, contact us at:
Privacy:privacy@globaltraveller.me
We may need to verify your identity before responding. We will respond within the timeframe required by applicable law. We do not normally charge a fee for exercising your privacy rights.
19. Complaints
If you have concerns about how we handle your personal information, please contact us first so we can investigate. You also have the right to complain to the UK’s data-protection regulator:
Information Commissioner’s Office (ICO)
Further information about your rights and how to make a complaint is available directly from the ICO. If you are located in another country, you may also have rights to complain to a relevant local data-protection authority.
20. Automated Processing
Global Traveller may use technology to help:
match alerts to locations;
identify potentially relevant incidents;
prioritise notifications;
identify unusual account activity; or
support operational teams.
We do not intend to make decisions producing significant effects on Members solely through automated processing without appropriate human involvement where required by law. Operational assistance decisions will ordinarily involve human assessment.
21. Business Changes
If Stratum Global Risk Ltd undergoes a merger, acquisition, restructuring, investment or sale of the Global Traveller business, personal information may be transferred as part of that transaction where lawful and subject to appropriate safeguards.
22. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect:
changes to Global Traveller;
changes in technology;
changes in providers;
changes in applicable law; or
improvements to our privacy practices.
The latest version will always be available on our website. Where a change is material, we will provide appropriate notice.
